Travel Program Assistant - OBXtek - Washington, DC
Responsibilities:
OBXtek is looking for a qualified candidate to fill the Travel Program Assistant opening in the U.S. Department of State Bureau of Near Eastern Affairs (NEA) which deals with U.S. foreign policy and U.S. diplomatic relations with Algeria, Bahrain, Egypt, Iran, Iraq, Israel, Jordan, Kuwait, Lebanon, Libya, Morocco, Oman, Palestinian Territories, Qatar, Saudi Arabia, Syria, Tunisia, United Arab Emirates, and Yemen. Regional policy issues that NEA handles include Iraq, Middle East peace, terrorism and weapons of mass destruction, and political and economic reform.
The Program Assistant shall provide administrative support services to the US Embassies in PSP posts via the OIP Center under the Bureaus of Near Eastern Affairs (NEA) and South and Central Asian Affairs (SCA). Program Assistants are cross trained to perform a variety of support functions. Functions equate to those of HR/CDA personnel technicians. Tasks include:
Assisting employees with closing their vouchers in E2 Travel System at the conclusion of their tours (includes reviewing travel authorizations to determine what voucherable expenses employee was entitled to and prepare related paperwork to process those vouchers). Conducting email correspondence and phone conversations with employees to identify vouchers that need to be submitted/closed and tracking interactions in internal Access database. Writing travel orders for short-term temporary duty employees going to PSP posts. Advising short-term temporary employees going to PSP posts on pre-deployment requirements that must be met for the trip (includes medical clearance and training requirements). Drafting visa and passport request memos for processing, including preparing, scanning and filing copies of all materials included in submission and creating and tracking submission records in internal Access databases. Maintaining and organizing office files, including working with the internal shared drive and uploading documents to SharePoint. Managing other tasks authorized by the Government Task Manager that fall within the scope of this task order.
Qualifications:
Must be US Citizen and be able to obtain and retain a US DoD Secret Clearance.
The candidate must have the following qualifications:
Bachelors Degree; work experience can be substituted in lieu of education requirement
3-5 years of similar job experience
Must be customer-service oriented, dependable, attentive to detail and willing to assist other team members as workloads require.
Experience and demonstrated ability in working with computer data based systems. In-depth operational knowledge of Microsoft Office Suite and SharePoint preferred.
Ability to interact with Foreign Service Officers in a professional and courteous manner.
Ability to multitask, work under pressure and adhere to short deadlines.
Strong writing skills and the ability to prepare professional emails quickly.
Willingness to learn new tasks that arise.
